Medical Negligence Legal Administrative Assistant

We are looking for a Legal Administrative Assistant to join our specialist Medical Negligence & Inquests team.

The opportunity

This is a full-time, office-based role in our Norwich office. As Legal Administrative Assistant, you will play a central role in the client intake process, acting as the first point of contact for new medical negligence enquiries.

You will manage each enquiry from initial contact through to a final decision on whether the matter should proceed, working closely with solicitors to assess the viability of potential claims. This is a varied and rewarding role that requires a balance of organisation, attention to detail and strong interpersonal skills.

About you and key responsibilities

  • Act as the first point of contact for all new medical negligence enquiries via telephone, email and online channels.
  • Conduct initial conversations with potential clients, gathering detailed and accurate information.
  • Carry out follow-up calls and maintain consistent communication with enquirers.
  • Take comprehensive and accurate notes, ensuring all relevant information is clearly recorded.
  • Request, collect and organise supporting documentation, including medical records and correspondence.
  • Liaise with solicitors to discuss enquiries and support the assessment of potential claims.
  • Manage enquiries through each stage, from initial contact to final review and decision.
  • Assist in determining whether cases meet the firm’s criteria for acceptance.
  • Communicate outcomes to clients in a clear, professional and sensitive manner.
  • Maintain accurate records on internal systems and ensure compliance with data protection requirements.

We are looking for someone who can demonstrate:

  • Excellent communication skills, both written and verbal.
  • Strong attention to detail and the ability to gather and record accurate information.
  • A professional and empathetic approach when dealing with sensitive matters.
  • Strong organisational skills, with the ability to manage multiple enquiries at different stages.
  • Confidence in handling telephone-based work and client interaction.

The following would be advantageous, though not essential:

  • Previous experience in a legal, medical or client-facing role.
  • An understanding of medical negligence or personal injury processes.
  • Experience in case intake or client onboarding.

You will also bring:

  • A calm and reassuring manner.
  • Strong listening skills and emotional intelligence.
  • The ability to make sound judgements with guidance from solicitors.
  • A team-focused approach, alongside the ability to work independently.
  • Resilience and comfort in dealing with complex or sensitive subject matter.
