New Client Coordinator

Fosters Solicitors is expanding its Client Welcome Team, the heart of our client onboarding experience. Based at our Norwich office, this role is ideal for someone who enjoys working in a people-focused environment where creating a positive first impression is essential.

As a New Client Coordinator, you will be one of the first points of contact for potential clients contacting the firm. You will handle inbound enquiries, guide clients through the initial stages of their legal journey and ensure they feel supported, informed and confident in choosing Fosters.

The role involves regular interaction with clients by phone and occasionally in person, so it requires strong communication skills, empathy and the confidence to manage conversations professionally. You will also work closely with colleagues across the firm to ensure enquiries are directed efficiently and the onboarding process runs smoothly.

 The role

The New Client Coordinator plays a key role in delivering an excellent first impression of the firm. You will manage new enquiries, build rapport with potential clients and provide clear guidance on next steps, helping to convert enquiries into instructions where appropriate.

Working within the Client Welcome Team, you will follow structured onboarding processes, maintain accurate records and ensure all enquiries are handled promptly and professionally. The role includes working towards agreed KPIs and service standards designed to support the firm’s continued growth while maintaining a high level of client care.

Key responsibilities

  • Acting as a first point of contact for new client enquiries via telephone, email and occasionally in person
  • Building rapport quickly with potential clients and understanding their enquiry
  • Providing clear information about the firm’s services and guiding clients through the next steps in the onboarding process
  • Converting enquiries into instructions where appropriate while working towards agreed KPIs and targets
  • Ensuring all client interactions are handled with professionalism, empathy and efficiency
  • Recording accurate enquiry information and maintaining internal systems and records
  • Liaising with legal teams to ensure enquiries are directed to the appropriate department
  • Supporting a smooth onboarding process for new clients
  • Maintaining high standards of client service and professionalism at all times
  • Supporting colleagues across the firm to ensure a consistent and positive client experience

About you

You will be confident speaking with people, able to build rapport quickly and comfortable managing conversations with clients who may be seeking help during important or sensitive situations.

You are likely to have:

  • Excellent communication and interpersonal skills
  • A calm, professional and empathetic approach
  • Confidence speaking with clients on the telephone
  • Strong organisation and attention to detail
  • The ability to manage multiple enquiries and priorities
  • A positive, collaborative approach when working with colleagues across the firm
  • Experience in a client-facing, customer service or administrative role (professional services experience would be an advantage but is not essential)
